Planning an Event
Are you planning an event in the Shire of Denmark?
Many events take place locally each year, including community-based festivals, markets, concerts, parades, sporting events and more.
To ensure events are safe and compliant with legislation, approval from the Shire of Denmark is required. Below are details about the various events approval applications, but we recommend event organisers first contact the Shire of Denmark Community Services Administration Officer to discuss the approval requirements.

Event Application
Shire of Denmark parks, reserves and beaches can be reserved for small corporate and community functions, weddings, promotions, performances and sporting events. To book a park or beach, an application will need to be submitted to the Shire.
Gatherings not selling any items with an expected attendance of fewer than 50 people with low risk and no intention to bring significant infrastructure or use electricity, do not require a formal booking. However, it is advisable to contact the Shire to ensure your preferred public space is available.
We recommend that you contact us at least 60 days before the event date however, alternative arrangements may be made for certain unforeseen or unavoidable circumstances. Traffic Management Plans (if needed) must be submitted to the Shire and local Police at least 4 weeks prior to the event.
Large events may need Council endorsement and significant consultation before approval.
If you're thinking about hosting an event at a private venue that is not approved to conduct the type of event you want to hold, you will need to complete and submit an event application.
For planning purposes, large scale events such as corporate and community events, concerts, performances and sporting events that have an expected attendance of over 500 people, a longer lead time for the approval process is required.

Event Application Process: Step by Step
- Step 1: Event organiser contacts the Shire to see if an approval is required
- Step 2: Event organiser completes the application form and submits
- Step 3: Shire staff check the application and confirms the booking
- Step 4: The event application form is distributed to internal departments at the Shire to check against regulations and local laws
- Step 5: Event organiser receives the approval and must address any conditions stipulated in the approval

Fees and Charges
Event Applications are subject to administration fees.
2024/25 Fees:
- Charitable and community organisations and groups – NO CHARGE
- Government authorities and commercial organisations/events - $183 (inc GST)
- Activities needing a permit (property local law section 3.13) - $27 (inc GST)
